Scan To Email On Ricoh Mp C3003?

Ricoh Administration Manager and Scan and Fax Manager are used to administering three Ricoh printers, which are all running on print Server 2012 R2.

MP C4503, MP C4502A, and MP C3502 are all MP C4503 models.

When installed with our local Exchange server, they were scanning to email perfectly. However, we have now switched to O365 and have been unable to make it work. I looked through several boards and tried every setting.

The printers (definitely the MP C4503, on which I’m testing this) should support Starttls. When establishing the MX record (Direct Send) and SMTP Client Submission using ports 25 and 587, both shows Validated OK, and the Job report shows the Scans were sent out successfully with no issues.

However, no email is received. The authenticated/email account’s Sent folder contains no emails.

From the server, I can successfully telnet smtp.office365.com on port 587. I can use Powershell from the same print server to send emails using the same SMTP server on 587. From the printers, I can ping the SMTP server’s IP address. The printers are configured with 8.8.8.8 DNS simply in case we need to use the hostname instead of the IP address.

Scan to Email (Ricoh)

  1. Tap Scanner on the printer’s home screen.

    Set any parameters that are different from the defaults.
  2. (Default settings are 300 dpi, auto color, single-sided, multipage PDF.)
  3. Choose your name from the user list.

  5. If your name isn’t on the list, follow the instructions in one of the following procedures:
  6. Fill in your email address only for this document.
  7. Please add your name and address to the user list.
  8. Place your paper(s) in the document feeder facing up.
  9. Start by pressing the Start button.
  10. The printer will send you a message with your document attached.

Ways to Specify Your Email Address

Fill in your email address only for this document.
This technique assumes you’ve already done stages 1 and 2.

  3. On the Ricoh keypad, press the Simple Screen button to change the display to a more complex version, such as this:

Add Your Name and Address to the List of Users

Return to the Home screen of the printer.
Tap Address Book Management to manage your address book.

  7. Change is located next to Key Display.
  8. Enter the text you want to see on your button in the address book using the on-screen keyboard, which is usually a short but helpful identification. Then press OK.
  9. Select E-mail.
  10. Enter your email address using the on-screen keyboard. The “@” symbol can be found in the lower right corner. When you’re done, press OK.
  11. To exit the Program / Change Address Book screen, press OK.
  12. To exit the Address Book Management screen, tap Exit.
  13. You can now scan and send your document using the steps outlined above.
