Enable and Configure Scan to Mailbox (Create/Edit a Folder)

  1. Open a browser from your computer.
  2. In the following box, enter the IP address for the printerAddressEnter the required information and press the [Enter] key. CentreWare Internet Services will now be displayed.
  3. Click the [Properties] tab.
  4. Click on the [Login] button to enter your username and password.
    NOTE: The default username is admin (case sensitive), and the default password is “1111”.
  5. To expand the options, click on the “Services” link.
  6. Click on [Scan Mailbox] and then choose [Enablement].
  7. Select [Enable Scan To Mailbox].
  8. Select [On Scan tab] and view mailboxes by default to enable mailboxes displayed in the CentreWare Internet Services’ Scan tab.
  9. To save the settings, click [Apply] or [Undo] for the old settings.

Configuring scan policies

You can manage scan policies to control who is allowed to scan files and create folders.

  1. Open a browser from your computer.
  2. In the following box, enter the IP address for the printerAddressEnter the required information and press [Enter] to save. CentreWare Internet Services will now be displayed.
  3. Click the [Properties] tab.
  4. Click on the [Login] button to enter your username and password.NOTE: The default username is admin (case sensitive), and the default password is “1111”.
  5. To expand the options, click on the “Services” link.
  6. Click on [Scan Mailbox] to select [Scan Policies].
  7. BelowPolicy ScanClear or select:
    • [Allow scanning of Default Public Folder] – This option allows users to scan files to the Default Public Folder, without requiring a password.
    • [Require each job password for public files]: This option allows users to enter a password for every job that they can into the public folder.
    • [Allow additional folders]: This option allows users to create additional private or public folders on their printers. If [Require password for creating additional folders] has been disabled, the option to assign a password to the folder will be disabled. This creates a public one. The Create Folder button is not displayed on the Scan tab if [Allow additional folders to be created] has been disabled.
    • [Require password to create additional folders]: This option will require that users enter a new password each time they create a folder. This feature is only for private folders.
    • [Prompt for a password during scanning to private folder]: This option allows users to enter the password every time they scan a job into that private folder.
    • [Allow access to the job log data file]: This option allows users to print a job list that includes details about any scanned image. A job log can be used by third-party applications to search for, file, and distribute jobs.
  8. Click [Apply].

How to create and edit a folder

All users can scan to the Default Public Folder by default. Users can add and edit folders if this option is enabled in Scan Policy.

To create a folder:

  1. Click on [Scan] to access CentreWare Internet Services.
  2. BelowDisplaySelect [Mailboxes]
  3. BelowSend a scan to your mailbox click [Create folder]
  4. For the folder, enter a name.
  5. To verify, enter a password if necessary.
  6. Click [Apply].
  7. Click [Modify Folder] to change the password for your folder. Click [Personalize Settings] to edit the default scan settings. To edit the scan settings, click [Edit].

Delete Scanned Files From Mailboxes

  1. Open a browser from your computer.
  2. In the following box, enter the IP address for the printerAddressEnter the required information and press [Enter] to save. CentreWare Internet Services will now be displayed.
  3. Click the [Properties] tab.
  4. Click on the [Login] button to enter your username and password.NOTE: The default username is admin (case sensitive), and the default password is “1111”.
  5. To expand the options, click on the “Services” link.
  6. Click on [Scan Mailbox], then select [Files].
  7. Select an option to immediately delete files from your server
    • To delete all files from the server, click Delete Now.
    • All files older than one day must be deleted. Please indicate the number of days that files are to be deleted.
  8. Click [Delete Files].
  9. BelowClean up folder files please specify which files you wish to delete. You must specify the number of days that files are to be deleted.
  10. NextTime for clean-upSelect:
    • [Hourly]: To have files deleted at each hour’s beginning.
    • [Daily] – Specify the time of the day that the delete process should run.
  11. Click [Apply].

Scan Folders Can Be Deleted

CentreWare Internet Services allows you to modify and delete scan folders in two locations. Delete folders from either of these locations will remove them from your printer.

To delete folders in the Properties tab:

  1. Open a browser from your computer.
  2. In the following box, enter the IP address for the printerAddressEnter the required information and press [Enter] to save. CentreWare Internet Services will now be displayed.
  3. Click the [Properties] tab.
  4. Click on the [Login] button to enter your username and password.NOTE: The default username is admin (case sensitive), and the default password is “1111”.
  5. To expand the options, click on the “Services” link.
  6. Click [Scan to Mailbox].
  7. Click [Modify Folder] to select the folder you wish to delete.
  8. BelowRemoving a folder from your device, click on [Delete Folder].

To delete folders using the Scan tab:

  1. Click [Scan] in CentreWare Internet Services
  2. BelowDisplayClick [Mailboxes] and choose the folder to be deleted. Enter the password if the folder is not public.
  3. Click [Modify Folder] to select the folder you wish to delete.
  4. BelowRemoving a folder from your device, click on [Delete Folder].

How to manage folder passwords

CentreWare Internet Services allows you to modify folder passwords at two locations. Passwords can be modified from either location. They will then be printed.

Modify folder passwords using the Properties tab:

  1. Open a browser from your computer.
  2. In the following box, enter the IP address for the printerAddressEnter the required information and press [Enter] to save. CentreWare Internet Services will now be displayed.
  3. Click the [Properties] tab.
  4. Click on the [Login] button to enter your username and password.NOTE: The default username is admin (case sensitive), and the default password is “1111”.
  5. To expand the options, click on the “Services” link.
  6. Click on [Scan Mailbox] to select [Folders].
  7. BelowOperation Created FolderSelect the folder you want from the menu.
  8. Forgot your password? Change Password for FolderThen, type the password again. Confirm your Folder Password.
  9. Click on “Save Password”.

Modify folder passwords using the Scan tab:

  1. Click [Scan] in CentreWare Internet Services
  2. Click on [Mailboxes] and then choose the folder that you wish to modify.
  3. Click [Modify Folder].
  4. BelowFolder OperationsEnter a new password change Password for Folder.
  5. Enter the password again Confirm Folder Password.
  6. Click on “Save Password”.

Monitoring Capacity

Capacity refers to the total space for all mailboxes.

Notice: Your system must be cleaned out if it is smaller than 100 MB, or if the percentage of space used is greater than 99%.

For the most current usage of capacity:

  1. Open a browser from your computer.
  2. In the following box, enter the IP address for the printerAddressEnter the required information and press [Enter] to save. CentreWare Internet Services will now be displayed.
  3. Click the [Properties] tab.
  4. Click on the [Login] button to enter your username and password.NOTE: The default username is admin (case sensitive), and the default password is “1111”.
  5. To expand the options, click on the “Services” link.
  6. Click on Scan to Mailbox > Capacity.
    • Capacity refers to the total space on the printer that can be used for scanning images.
    • Use: A space that is currently used for scanned images.
    • Available: This space is available for scanning images.
    • The percentage used: This is the amount of space that scanned images take up as a percentage of total space.
