Scan to Email in Microsoft Outlook
To configure scan settings and scan a document:
- Place the document in the scanner and scan it.
- Microsoft Outlook should be open.
- Click on the New Email button.
- Select the Kofax VRS option from the drop-down menu.
- Choose from three different profiles: colour only, colour or black and white, or black and white only.
- Select Scan with Preview from the menu.
- Desktop Productivity will begin scanning all of the pages in the scanner automatically.
- Color Mode, Resolution, Feeder, Sides, and Paper Size are all configurable on the Scan Settings tab.

- To customise the VRS features, go to the Home page and click Image Quality Settings.
- Click File Type in the Home tab to change the image storage type to PDF, TIF, BMP, JPG, or PNG.
- To rescan with the modified Scan Settings, remove the previous image(s) and select Scan One or Scannell to scan one page or all pages in the scanner’s feeder.
- Select the image and click Image Quality Settings to adjust the VRS settings for the scanned image.
- Images can be deleted manually by selecting them and clicking Delete.
- By dragging and dropping images, you can rearrange them.
- When you’ve finished scanning and making changes, click Save.
- Enter the file name when prompted.
To scan a document using previously configured scan settings:
- Place the document in the scanner and scan it.
- Microsoft Outlook should be open.
- Click on the New Email button.
- Select the Kofax VRS option from the drop-down menu.
- Choose from three different profiles: colour only, colour or black and white, or black and white only.
- Select Quick Scan.
- Enter the file name and the file type (PDF, TIF, BMP, JPG, or PNG) when requested.
